Template T-01.2: Task triage grid
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Three columns. Every task from your time audit goes in exactly one. Ten common tasks are placed below as examples; move them if your practice, your brokerage, or your own checking habits say otherwise. The one rule: nothing from the Keep human column moves left. This page is also Figure 1.4.

Automate (same every time; inputs arrive from a system; a wrong output is cheap to catch; always with an approval step, per Chapter 12)

- New-lead acknowledgment within five minutes
- Closing-anniversary and home-anniversary notes
- Weekly seller update draft from showing and feedback logs

Draft with AI (needs your facts and your voice; varies each time; goes out under your name after you check it)

- Listing descriptions and the four formats that come from them
- Follow-up email to a buyer after a tour
- Open house follow-up texts, sorted by the visitor's stated intent
- One-page pricing narrative for a listing appointment

Keep human (money, emotion, legal judgment, or a relationship you will not risk; the assistant may help you prepare, never perform)

- Pricing opinion and comp selection
- Negotiating offer terms and counteroffers
- The call to a client whose deal fell through

Your tasks (from T-01.1):

Placement questions, in order. Stop at the first "no."

1. Does it involve a price opinion, a negotiation, a legal or disclosure judgment, or a conversation where someone could be hurt? If yes: Keep human.
2. Does it need facts only you have, and does it go out under your name? If yes: Draft with AI.
3. Is it the same every time, do the inputs come from a system (a form, a CRM, a calendar), and would a wrong output be easy to catch before it does harm? If yes: Automate, with an approval step.
4. If none of the above fit, it is probably Draft with AI. Start there and move it later.
