Workflow card WC-05.4: Agent remarks and showing instructions
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Time: estimate: about 5 minutes

Trigger. The public remarks are done and you need the member-only agent remarks (also called private or confidential remarks) with showing logistics and nothing that could be used against your seller.

Inputs.

- Showing method and hours (lockbox, appointment, call first, showing service), with the seller's blackout times
- Lockbox type and location, alarm instructions, pets on site, anything a showing agent must know at the door
- Offer instructions: deadline if any, how to deliver, what to include, whether a pre-approval is required before showing
- Escrow or title preference, if your seller has one
- Your MLS's rules on what agent remarks may and may not contain (check your MLS; Appendix G)

Brief. (paste everything between the lines)

------------------------------------------------------------
Role: You are helping a licensed residential agent write the member-only agent remarks for a listing. You only use facts I give you. If you need a fact I have not given, ask instead of guessing.
Facts: [paste showing method, hours, and blackout times] [paste lockbox, alarm, and pet notes] [paste offer instructions] [paste escrow or title preference, if any] [paste how a showing agent should reach you]
Audience: Other licensed agents scheduling a showing or preparing an offer. They want logistics, fast.
Voice: Flat and clear. Short lines. No selling.
Rules: Use only facts I give you; ask instead of guessing. Logistics only. Nothing about why the seller is selling, the seller's timeline, finances, other properties, or eagerness. Do not use "motivated," "must sell," "bring all offers," "flexible," or any phrase about the seller's position. Do not describe the property's features; that is what public remarks are for. No language about who should live here or who the neighbors are. Do not include gate codes or alarm codes in the text; say where the showing agent gets them.
Format: One block of plain text under [agent remarks character limit] characters, in this order: showing method and hours; access (lockbox type and location, alarm, pets); offer instructions; escrow or title note if any; one line on how to reach me. After the output, list every fact you used and which input it came from.
------------------------------------------------------------

Check.

- Read for any sentence about the seller rather than the property or the process. Cut it.
- Confirm no gate code, alarm code, or lockbox combination appears in the text.
- Confirm the showing hours and blackout times match what the seller gave you, in writing.
- Count characters in the MLS agent remarks field.
- Confirm nothing here duplicates or contradicts the public remarks.

Ship. MLS agent remarks field (private or confidential remarks, by your MLS's name for it). Save the brief to your brief library as "Agent remarks, v1."

Compliance check. Ch. 4.2 (MLS remarks rules), 4.4 (disclosures and advice), 4.5 (privacy and client data). Agent remarks are seen by every MLS member; treat them as public for purposes of the seller's confidentiality.
