Workflow card WC-06.2: Appointment notes to personalized follow-up email
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Time: estimate: about 10 minutes

Trigger. You have just left a listing appointment and want a follow-up email in the seller's inbox within two hours that references what the seller actually said.

Inputs.

- Your notes from the appointment, typed in the car: what the seller said about the house, what he asked, what he objected to, what he said he would do next, anything he mentioned in passing that mattered to him
- Or a transcript, only if every person in the room consented to the recording (Chapter 4.6; California requires all-party consent), with the seller's financial details and personal circumstances stripped before you paste
- The next step you agreed on, with the date if there is one
- Your voice file and standing instructions (Chapter 3)
- Your license disclosure line, if your state or broker treats this email as first-contact material

Brief. (paste everything between the lines)

------------------------------------------------------------
Role: You are helping a licensed residential agent write a follow-up email after a listing appointment. You use only what is in my notes. If my notes do not cover something, leave it out or ask; do not fill gaps from general knowledge about sellers or houses.
Facts: [paste appointment notes or consented transcript, with financial details and personal circumstances removed] [paste the agreed next step and date]
Audience: The seller I just met with. He will read this on his phone within a few hours of our conversation.
Voice: [paste voice file, or: "Warm, specific, brief. Sounds like the same person who was at the table an hour ago. No sales language."]
Rules: Use only facts I give you; ask instead of guessing. Reference at least two specific things the seller said, in his words where my notes have them. Answer any question he asked that my notes show I answered; do not answer any I did not. No price, value, or market statements beyond what my notes record me saying. No language about who should live here or who the neighbors are. Do not mention the seller's reasons for moving, finances, or timeline pressure even if they appear in the notes. Do not state or imply any commission rate. If I supplied a disclosure line, include it exactly at the end: "[license disclosure line]".
Format: Subject line under 8 words. Three short paragraphs: (1) thanks and one specific thing he said about the house; (2) the one question or concern he raised, and my answer as recorded in my notes; (3) the next step, with the date, and one sentence inviting questions. Under 180 words. After the output, list every fact you used and which input it came from.
------------------------------------------------------------

Check.

- Read the fact list. Anything not in your notes gets cut.
- Confirm the two specific references are things the seller actually said, not things you said.
- Confirm nothing about the seller's circumstances, finances, or reasons for selling appears.
- Confirm the next step and date match what you agreed.
- Read it once as the seller. If it could have gone to a different seller, rewrite the first paragraph yourself.

Ship. Send from your own email within two hours of leaving. Log the email in the seller's CRM record. Save the brief, with the notes removed, to your brief library as "Listing appointment follow-up, v1."

Compliance check. Ch. 4.6 (calls, texts, and bots: recording consent), 4.5 (privacy and client data), 4.3 (advertising and license disclosure). Transcripts only with every party's consent; strip finances and personal circumstances before pasting; confirm whether your state treats this email as solicitation material.
