Workflow card WC-07.2: Open house sign-ins to same-day follow-up
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Time: estimate: about 20 minutes

Trigger. The open house just ended, you have a sign-in sheet with names, numbers, and a "why did you come today" answer, and you want every visitor to hear from you before six, plus a feedback summary for the seller tonight.

Inputs.

- Sign-in sheet, typed: first name, phone or email, the "why did you come" answer, and any comment
- Your intent tag for each name (buyer active, buyer early, neighbor, agent, represented buyer); you assign the tag, not the AI
- The listing's verified feature list (WC-05.1), for the one or two facts a message may mention
- Showing instructions and the disclosure package link, for agents
- Your license disclosure line, exactly as your state and broker require
- Your voice file (Chapter 3)

Brief. (paste everything between the lines)

------------------------------------------------------------
Role: You are helping a licensed residential agent write same-day follow-up messages to people who visited an open house today, and a feedback summary for the seller. You only use facts I give you. You were not at the open house; do not describe anything a visitor did, felt, or seemed interested in unless it is written on the sheet.
Facts: [paste the sign-in list with tags and comments] Listing facts available to mention: [paste two to four lines from the feature list]. Showing instructions and disclosure package link for agents: [paste].
Audience: The visitors, by tag. Active buyers want a fast answer and a next step. Early buyers want to be left alone but remembered. Neighbors want a thank-you and no pitch. Agents want logistics. Represented buyers must not be solicited.
Voice: [paste voice file, or: "Plain, warm, short. Sounds like a text from a person, not a campaign."]
Rules: Use only facts I give you; ask instead of guessing. One message per visitor, under 60 words, as a text. If the sheet has a comment from that visitor, use it in one sentence; if not, write nothing personal. No invented observations. No language about who should live here or who the neighbors are. Nothing about schools, places of worship, safety, or demographics. Neighbors get thanks only, no offer of services. Represented buyers get a thank-you with no question and no offer; draft a separate two-line note to their agent. Every message ends with "[license disclosure line]" and a one-line way to stop receiving messages. For the seller summary: report what visitors wrote, in their words where available, grouped by theme, with counts; no softening, no editorializing, no advice on price.
Format: (1) Messages grouped by tag, each labeled with the visitor's first name. (2) Agent notes, if any. (3) Seller feedback summary: visitor count by tag, then themes with counts and quoted comments, then "questions asked" as a list, under 150 words total. After the output, list every fact you used and which input it came from.
------------------------------------------------------------

Check.

- Read every message against the sheet. Any sentence that describes something not written on the sheet gets cut.
- Confirm neighbors got no pitch and represented buyers got no question or offer.
- Confirm the disclosure line and the stop line are on every visitor message.
- Read the seller summary as the seller. Rewrite a sentence that hurts without informing; keep one that informs, even if it stings.
- Check the summary's counts against the sheet by hand.

Ship. Send the messages from your own phone or CRM before six. Email the seller summary tonight. Log each visitor in your CRM with the tag. Save the brief, with the facts removed, to your brief library as "Open house follow-up, same day, v1."

Compliance check. Ch. 4.1 (Fair Housing), 4.3 (license disclosure on first-contact material), 4.6 (calls, texts, and bots: consent and opt-out). One message about this house to a number collected today; recurring messages need the consent language in Chapter 9.
