Template T-11.1: Milestone update emails (eight stages)
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Write these once, in your voice, and keep them in your brief library. Every bracket is a fill-in; WC-11.2 fills them from your verified date table. Each email answers the same four questions: what happened, what is next, what I need from you and by when, and when you will hear from me again. Stages 3 and 5 offer a call instead of advice. Nothing in any of these predicts an outcome.

Stage 1. Offer accepted, escrow opened

Subject: [Street name]: we are in escrow

Hi [first name],

The seller accepted and escrow is open as of [acceptance date]. Here is what happens over the next few weeks, in order: deposit, disclosures, inspections, appraisal, loan approval, final walkthrough, signing, and keys. I will send you a short note like this one at each step.

What I need from you: the initial deposit, wired to escrow by [deposit date]. Escrow will send wiring instructions directly; call me before you wire anything, every time, no exceptions.

You will hear from me by [day], or sooner if anything comes up.

Stage 2. Deposit received, disclosures delivered

Subject: [Street name]: deposit in, disclosures on the way

Hi [first name],

Escrow confirmed your deposit on [date]. The seller's disclosure package arrived [or: is due by] [date]. It is long. Read all of it anyway; I will walk you through anything that is not clear.

What I need from you: read the disclosures and send me your questions by [date].

Inspections are next. You will hear from me by [day] with the schedule.

Stage 3. Inspections done, repair conversation

Subject: [Street name]: inspection results

Hi [first name],

The inspections are done. Reports are attached [or: in the shared folder]. Your investigation contingency runs through [verified date]. Before then, we decide together whether to ask for repairs or a credit, proceed as is, or step back.

What I need from you: a 20-minute call by [date] to go through the findings. I will not summarize the big items in email; they deserve a conversation.

You will hear from me by [day] after we talk, with whatever we decide to send the seller.

Stage 4. Appraisal

Subject: [Street name]: appraisal update

Hi [first name],

The appraisal is scheduled for [date] [or: was completed on [date]]. The lender releases the report to us when it is reviewed, usually within a few days of the visit. I will send it the moment I have it.

What I need from you: nothing this week.

You will hear from me by [day].

Stage 5. Loan approved, contingencies

Subject: [Street name]: loan approval and next steps

Hi [first name],

The lender issued [conditional or final] loan approval on [date]. Your remaining contingencies: [list, each with its verified date]. Removing a contingency is a decision with real money behind it, so let's talk before you sign anything.

What I need from you: a call by [date].

You will hear from me by [day].

Stage 6. Final walkthrough and signing

Subject: [Street name]: walkthrough and signing

Hi [first name],

Two things left before keys. The final walkthrough is [date and time]; we confirm the property is in the condition you agreed to and that any agreed repairs are done. Signing is scheduled for [date and time] at [escrow or notary]; bring [ID requirements as escrow stated them].

What I need from you: confirm both appointments by [date], and arrange your closing funds with escrow by [date]. Call me before any wire.

You will hear from me by [day].

[signature]

Stage 7. Funding and recording

Subject: [Street name]: funded, recording next

Hi [first name],

The lender funded on [date]. Recording with the county is expected [date]; escrow calls me the moment it records, and I call you.

What I need from you: nothing. Keep your phone on.

You will hear from me the moment we record.

[signature]

Stage 8. Keys

Subject: [Street name]: it recorded

Hi [first name],

It recorded at [time]. The house is yours. Keys are [where and when].

What I need from you: nothing at all.

I will check in next week to make sure utilities, mail, and anything else transferred the way it should. Congratulations.

Listing side: the same eight stages work with the seller as the reader. Change the asks (disclosures, access for inspections and the appraiser, signing, move-out) and keep the structure.
