Workflow card WC-11.3: Closing to 12-month follow-up plan
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Time: estimate: about 15 minutes, plus the thank-you you write yourself

Trigger. The file has recorded, the keys are delivered, and you want the next twelve months of contact scheduled before you forget this client's name.

Inputs.

- Verified close of escrow date (from the recorded file, not from the AI)
- Client first names and the contact method they agreed to (email; text only with consent for texts from you)
- Your project notes from the escrow: what they mentioned, what worried them, what they plan for the house
- Your vendor list (handyman, plumber, gardener) if you share one
- Your voice file (Chapter 3) and your license disclosure line

Brief. (paste everything between the lines)

------------------------------------------------------------
Role: You are helping a licensed real estate agent plan follow-up with a client whose purchase or sale just closed. You schedule and draft; the agent decides and sends. Use only facts I give you; if you need a fact, ask instead of guessing.
Facts: Close date: [date]. Client: [first names]. Contact method: [email or text, with consent noted]. I represented the [buyer or seller]. Notes from the escrow: [paste]. Vendor list: [paste or "none"].
Audience: A client who just finished a stressful transaction and does not want to be sold anything.
Voice: [paste voice file, or: "Warm, brief, specific to them. Sounds like a person who remembers."]
Rules: Use only facts I give you; ask instead of guessing. Six touches: day 1, week 1, month 1, month 3, month 6, month 12. Every touch must be useful to the client or it is cut; no touch may ask for anything until month 12. Gift ideas must come from the notes I gave you; if the notes do not support an idea, say so instead of suggesting a generic gift. Do not draft the day 1 thank-you; I write that one. No market predictions, no suggestion that they should sell or refinance, no commentary on the neighborhood or the people in it. No language about who should live here or who the neighbors are. Include "[license disclosure line]" at the end of any touch that goes to someone other than the client.
Format: A six-row table: Touch; Date (computed from the close date I gave, labeled DRAFT for my check); Purpose; Channel. Then the five drafts (week 1 through month 12), each under 90 words, each labeled with its date. Then two or three gift ideas, each tied to a specific line from my notes. After the output, list every fact you used and which input it came from.
------------------------------------------------------------

Check.

- Check the six dates against your own calendar from the close date. Fix any that drift.
- Cut anything in a draft the client did not tell you.
- Confirm the month 12 draft is the only one that asks for a review or referral, and that it asks once.
- Confirm the channel on every row matches the consent you have. No texts without it.
- Read the gift ideas against your notes. Replace or drop anything generic.

Ship. Write the thank-you yourself and send it on day 1. Load the five drafts into your scheduler with their dates, or into Chapter 12 starter automation 3 (closing date to anniversary reminders) with an approval step before each send. Save the brief, with the notes removed, to your brief library as "Post-close 12 months, v1."

Compliance check. Ch. 4.3 (license disclosure on first-contact material), 4.5 (privacy and client data), 4.6 (calls, texts, and bots). Texts need consent; every scheduled touch is read by you before it goes.
