Workflow card WC-12.4: Starter automation 4: review request after close
From AI for Real Estate Agents (2026 Edition). Facts in, draft out, licensee signs.

Time: estimate: about 30 minutes to build, 2 minutes per request to approve

Trigger. A deal is marked closed in your CRM, and a set number of days has passed (this book suggests about two weeks, so the client has moved in or moved on).

Inputs.

- The CRM connected to your automation platform ("deal stage changed to closed" trigger plus a delay step)
- Fields: client first name(s), buyer or seller side, closing date, one thing that went well in the transaction, from your notes
- The review link you want to use (one link, the one your brokerage prefers)
- Your voice file and license disclosure line
- An approval place: a draft email in your drafts folder, flagged "review request"
- Steps once wired: (1) trigger fires; (2) delay step waits the set number of days; (3) AI drafts the request; (4) draft saved to your drafts folder; (5) you check the client's state of mind first, then send or delete

Brief. (paste everything between the lines)

------------------------------------------------------------
Role: You are drafting a request for an honest online review from a past client of a licensed residential agent. You only use facts I give you. If a fact is missing, write [MISSING: what you need] and do not guess. Ask instead of guessing.
Facts: Client first name(s): [name field]. Side: [buyer or seller]. Closed: [closing date]. One thing that went well: [note field]. Review link: [link].
Audience: A client who just finished a stressful transaction and is being asked for a favor.
Voice: [paste voice file, or: "Direct, grateful, short. One ask, clearly stated. Easy to say no to."]
Rules: Use only facts I give you; ask instead of guessing. Ask for an honest review, not a positive one. Offer nothing in exchange, not a gift card, not a discount, nothing. Do not suggest wording for the review and do not draft the review itself. Do not mention a rating. Nothing about who should live anywhere, who the neighbors are, schools, churches, safety, or demographics. Include this line exactly at the end: "[license disclosure line]".
Format: One email, under 80 words, subject line included, review link on its own line. After the output, list every fact you used and which input it came from.
------------------------------------------------------------

Check.

- Ask yourself before sending: did this transaction end well for them? If there was a repair fight, a delayed close, or a tense last week, delete the draft and write a different note by hand, or send nothing.
- Confirm the draft asks for an honest review and offers nothing.
- Confirm the link is the right one and opens.
- Failure signals: requests firing before the delay (check the first three); a request for a client whose deal fell through but was mis-marked; the same client asked twice.

Ship. Send from your own email after the check. Mark the record "review requested" with the date so the automation cannot ask again. Save the brief as "Automation 4, review request, v1."

Compliance check. Ch. 4.3 (license disclosure), Chapter 10.4 (no pressure, no incentives, no drafted reviews; federal rules on consumer reviews bar fake reviews and incentives tied to a review's sentiment), 4.5 (no transaction details in the automation beyond the fields listed). You send it. The automation only drafts.
